Business Events & Destination Development Coordinator

 

What is MICE?


MICE stands for Meetings, lncentives, Conferences, and Exhibitions (sometimes the "E" is "Events"). lt's often called
business events. ln practice, it covers corporate/association meetings, incentive travel programs, conferences/congresses, and trade shows/expos.

Rote summary


Vou will secure conferences and trade shows for the region, develop authentic tourism products with local partners,
and lead the end-to-end planning and delivery of large-scale events and expos. The role blends sales (MICE), product
development, and on-the-ground coordination to drive year-round visitation and economic impact.

Key responsibilities


Business events sales & bidding (MICE)

  • Build and manage a pipeline of meetings, incentives, conferences, and exhibitions opportunities; qualify
    leads and convert to bids/host agreements;
  • Develop bid books/RFP responses, budgets, and hosting plans; coordinate site inspections and
    familiarization (FAM) tours;
  • Negotiate dates, space, and packages with venues, hotels, and suppliers; track performance in a CRM (e.g.,
    Simpleview/Salesforce).


Event delivery & expo operations

  • Project-manage end-to-end delivery of secured conferences, trade shows, and signature expos: timelines,
    budgets, risk, logistics, and stakeholder communications;
  • Oversee floor plans, exhibitor services, vendor contracts, production schedules, registration, volunteer
    planning, and on-site operations;
  • Lead cross-functional event teams and coordinate with municipal services (traffic, permitting, security,
    waste, accessibility);
  • Capture post-event metrics, settlement, and debriefs; implement continuous improvement.


Experience & product development

  • Co-create market-ready, authentic visiter experiences with local operators, artisans, cultural/heritage and
    lndigenous partners-ensuring cultural integrity and community benefit;
  • Package experiences (pricing, capacity, safety, accessibility) and ready them for sale via OMO, DMCs, and
    tour operators;
  • Monitor quality standards and visiter feedback; iterate based on insights and demand.


Partnerships & stakeholder relations

  • Maintain strong relationships with hotels, venues, universities/associations, economic development
    agencies, and provincial/national partners (e.g., Tourism NB, Destination Canada Business Events);
  • Convene partner roundtables; align calendars and leverage co-op marketing/funding.
  • Represent the region at marketplaces, sales missions, and industry events.

 

Marketing, data & administration

  • Brief marketing on event bids, delegate-boost campaigns, and experience launches; supply itineraries, copy,
    and assets;
  • Maintain accurate CRM records, budgets, contract s, and critical paths; ensure compliance with procurement,
    insurance, and health & safety requirements;
  • Track and report KPls and prepare board/partner updates.


Qualifications

  • Diploma/degree in tourism, events, business, or related field; 2-4 years' experience in conference
    sales/services, exhibitions, or destination development (DMO/venue/hotel/event producer);
  • Success coordinating large events/expos (1,000+ delegates/exhibition attendees) and managing multiple
    suppliers to time/budget;
  • Strong partner development skills; experience co-creating tourism experiences is an asset;
  • Excellent project management, budgeting, and negotiation skills; comfortable reading floor plans and
    production schedules;
  • Tech savvy: CRM (Simpleview/Salesforce or similar), project tools (Asana/Trello/MS Project), Microsoft
    365/Google Workspace; event platforms (e.g., Eventbrite, Showpass) an asset;
  • Outstanding written/oral communication; bilingual English/French strongly preferred;
  • Valid driver's licence; ability to work evenings/weekends during events and to travel (~15-25%).

 

Work conditions

  • Office and on-site event environments; periods of standing and light lifting (up to ~20 kg) during move-in/out;
  • Flexible schedule around event peaks; time-in-lieu per policy.
